2.4 Google User Data
When you sign in with Google, we access your Google account's basic profile information (name, email address, and profile picture) to create and maintain your account. This data is used solely for authentication and account identification.
If you connect Google Drive, we request per-file access to files you select via Google Picker (drive.file scope). Selected files are downloaded and processed through our document analysis pipeline to enable search and retrieval within the Service. File contents are stored in our databases (see Section 6 - Data Storage). We do not access files you have not explicitly selected, and we do not modify, delete, or write to your Google Drive.
Google API Services User Data Policy Compliance: Ventive Chat's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
3. How We Use Your Information
We use the information we collect for the following purposes: (a) Providing the Service: to operate, maintain, and deliver the features and functionality of the Service; (b) Service Improvement: to analyze usage patterns, optimize prompts, improve response quality, and enhance the Service; (c) Caching and Performance: to cache prompts and responses for efficiency and faster response times; (d) Product Development: to develop new products, services, features, and functionality; (e) Analytics: to generate aggregated, anonymized analytics and insights about Service usage; (f) Communications: to send you technical notices, updates, security alerts, and support messages; (g) Compliance: to comply with legal obligations and enforce our Terms of Service; (h) Safety and Security: to detect, prevent, and address fraud, abuse, and security issues.
4. Data Mining and Processing
This data mining includes, but is not limited to: (a) analyzing prompts to optimize and improve prompt engineering; (b) caching prompts and responses to improve system performance and reduce latency; (c) analyzing patterns and trends in usage data; (d) developing insights to improve the Service and develop new products; and (e) creating derivative works and analytics from User Inputs and Service Outputs.
Your User Inputs and Service Outputs may be processed by automated systems and may be reviewed by Ventive personnel for quality assurance, safety, and improvement purposes.
5. Disclosure of Information
5.1 Third-Party AI Providers
The Service utilizes multiple third-party artificial intelligence providers to generate responses, which may include Anthropic, OpenAI, Google, xAI, and other providers. Your User Inputs are transmitted to these third-party providers for processing. These providers may have their own data collection and use practices, and we encourage you to review their privacy policies.
Google User Data: Google user data obtained through OAuth authentication (profile information) and Google Drive integration (file contents) is not shared with third-party AI providers unless you explicitly submit that content as a prompt or include it in a conversation. File contents processed through our document analysis pipeline may be used as context in AI-generated responses when you query related topics.
5.2 Service Providers
We may share your information with third-party service providers who perform services on our behalf, such as hosting, analytics, payment processing, and customer support. These service providers are contractually obligated to use your information only for the purposes of providing services to us.
5.3 Employers (Business Accounts)
If you access the Service through a Business account (Free Business, Paid Business, or Enterprise), we will share your complete User Inputs, Service Outputs, conversation logs, and usage metadata with the organization that established and administers your account (your "Employer"). This includes the full content of all prompts you submit and all responses generated, as well as timestamps and usage patterns. Your Employer has full visibility into your use of the Service. This data sharing applies only to U.S.-based Business accounts; for international users, see Section 10 (International Users).
5.4 Aggregated Analytics for Business Subscribers
For Business accounts, we provide Employers with aggregated analytics regarding the usage of the Service by their employees and contractors, including usage patterns, volume metrics, and performance data.
5.5 Legal Requirements
We may disclose your information if required to do so by law or in response to valid requests by public authorities (e.g., court orders, subpoenas, government requests). We may also disclose your information to: (a) comply with legal obligations; (b) protect and defend our rights or property; (c) prevent or investigate possible wrongdoing; (d) protect the safety of users or the public; or (e) protect against legal liability.
5.6 Business Transfers
In the event of a merger, acquisition, reorganization, bankruptcy, or sale of all or a portion of our assets, your information may be transferred as part of such transaction. We will notify you of any such change in ownership or control of your personal information.

Your information is stored and processed on servers located in the United States, specifically using Amazon Web Services (AWS) infrastructure in U.S. regions. By using the Service, you consent to the transfer and processing of your information in the United States.

We implement reasonable administrative, technical, and physical security measures designed to protect your information from unauthorized access, use, or disclosure. However, no method of transmission over the Internet or electronic storage is completely secure, and we cannot guarantee absolute security. You are responsible for maintaining the confidentiality of your account credentials.

We retain your personal information for as long as your account is active or as needed to provide the Service. Upon termination of your account, we will delete your personal information within sixty (60) days, except that: (a) we may retain anonymized or aggregated data indefinitely; (b) we may retain information as necessary to comply with legal obligations, resolve disputes, and enforce our agreements; and (c) backup copies may persist for a reasonable period before deletion.

Such access requires your explicit, informed consent. You will be presented with a separate consent mechanism before any such data is shared with your Employer. You have the right to withdraw your consent at any time. If you withdraw consent, your Employer will no longer receive your conversation logs and full usage data, though metadata and aggregated analytics may still be shared. Withdrawal of consent will not affect the lawfulness of processing based on consent before its withdrawal.
11. Children's Privacy
The Service is not intended for individuals under the age of 18. We do not knowingly collect personal information from anyone under 18 years of age. If we become aware that we have collected personal information from a child under 18, we will take steps to delete such information as quickly as possible.
